Your privacy is important to us. This policy explains how we collect, use, and protect your information when you use Coach Joel's Way Youth Fair Play Coaching Platform.

This policy is incorporated by reference into our Terms of Service. Your use of the Service is also subject to our Terms of Service, Acceptable Use Policy, and Coach Code of Conduct.

Information We Collect

Personal Information

We collect information you provide directly to us, such as when you create an account, including:

  • Name and contact information (email address)
  • Organization and team information
  • Player information (names, positions, preferences)
  • Player images/photos (team logos and roster profile photos) uploaded by coaches/administrators
  • Game schedules and lineup data
  • Scouting reports and player evaluations
  • Phone numbers (collected only when voluntarily provided for specific features such as snack schedule signups or tournament registrations)

Usage Information

We automatically collect certain information about your use of our platform, including:

  • Log data (IP address, browser type, pages visited)
  • Device information (device type, operating system)
  • Usage patterns and feature interactions
  • Product analytics and diagnostic information, including page views, screen views, feature interactions, masked session replay on the website and iOS app, and error diagnostics

We use PostHog for product analytics on the website and in the iOS app. On the website, logged-in PostHog events may include account support context such as user ID, email address, name, organization or team identifiers, role, and browser/device context so we can understand usage patterns and troubleshoot issues. In the iOS app, PostHog events are limited to privacy-safe account and product context such as user ID, organization or team identifiers, role, app version/build, network status, screen names, and similar event metadata.

We configure PostHog session replay to mask text and inputs and block media elements from capture on the website. In the iOS app, PostHog session replay may be enabled for sampled or targeted sessions to help us understand product issues, but it is configured to mask text inputs, images, and sandboxed views. We disable PostHog replay network telemetry and replay log capture in the iOS app. We do not enable PostHog surveys or full automatic element recording in the iOS app. The iOS app may capture limited repeated-tap frustration events as product interaction analytics. We do not intentionally send PostHog player or minor names, player photos, phone numbers, raw support messages, support screenshots, raw debug-log payloads, authentication tokens, or full lineup contents.

Support Tickets & Service Providers

Coach Joel's Way provides first-party support tickets inside the desktop web application and the iOS app. When you create or reply to a ticket, we store the conversation on our own systems so the full support history stays tied to your account.

Support tickets may include the message you submit, screenshots you attach, your account and team context, and app or device context needed to investigate the issue. In the iOS app, you may also choose to include sanitized iPhone debug logs that are designed not to contain personally identifiable information.

We use service providers such as Mailgun to deliver internal support-notification emails and customer notification emails related to ticket activity. Those providers process the minimum information required to send the message on our behalf.

We do not use a third-party live chat widget for customer support on the website or in the iOS app.

Google Calendar and YouTube Integrations

If you choose to connect your Google account, Coach Joel's Way requests basic Google account information, such as your name, email address, and profile identifier, to connect the correct account to your Coach Joel's Way profile.

If you enable Google Calendar schedule sync, Coach Joel's Way requests limited Google Calendar access to create and manage secondary calendars that our app creates. We send schedule details for the team-season you choose to sync, such as game date and time, opponent, arrival time, location, status, public schedule notes, matchup notes, Coach Joel's Way game links, and related tournament schedule details when applicable. We do not send roster data, player or family contact information, private strategy notes, lineup details, or unnecessary minor information to Google Calendar for this feature.

Calendar subscription links are private bearer links. Anyone who has the link may be able to view the schedule feed in a calendar app until the link is rotated, revoked, or otherwise unavailable. Coach Joel's Way shows the private link only to authenticated team members, stores feed tokens using encrypted display storage and hashed lookup storage, and does not intentionally log raw feed tokens or full feed URLs.

You can disconnect an individual Google Calendar team-season sync without deleting your Google account connection. After disconnecting a sync, you can delete the saved local sync record and Google event mapping data for that team-season from your profile calendar syncs page. You can also disconnect and remove all Google Calendar integration data owned by your account, which removes stored Google Calendar OAuth connection records, OAuth state records, saved calendar sync rows, and local Google event mapping records from Coach Joel's Way.

When you disconnect or remove Google Calendar integration data, Coach Joel's Way attempts to revoke Google Calendar refresh tokens where possible. Calendar events or calendars already created in Google Calendar may remain in your Google account unless they are removed through Google Calendar or can be removed through an active authorized connection.

If you enable YouTube Live features, Coach Joel's Way also requests YouTube access needed to list your YouTube channels, check live-streaming readiness, and create or manage YouTube Live broadcasts and streams that you start from the app. We store Google account identifiers, connected YouTube channel metadata, granted OAuth scopes, and encrypted Google refresh tokens so the integration can continue working after the initial connection.

We use Google user data only to provide and maintain the Google and YouTube integration features you choose to use. We do not sell Google user data, use it for advertising, or use it to train generalized artificial intelligence or machine learning models. We share Google user data only as necessary to operate the requested integration, comply with law, or protect users, the platform, and Google services from abuse.

How We Use Your Information

We use the information we collect to:

  • Provide our services: Create and manage lineups, track player statistics, and facilitate team management
  • Operate optional integrations: Connect Google accounts when you choose to use Google-powered features such as Google Calendar schedule sync, YouTube Live setup, and streaming
  • Improve our platform: Analyze usage patterns to enhance features and user experience
  • Communicate with you: Send important updates, security alerts, and support messages
  • Ensure security: Protect against fraud, abuse, and unauthorized access
  • Comply with legal obligations: Meet regulatory requirements and respond to legal requests

We expect all users to use data responsibly and ethically in accordance with our Coach Code of Conduct.

Training Content Analytics

Coach Joel's Way collects limited interaction data related to training and practice content (such as views and watch progress) to help improve coaching resources and app functionality. This training-specific watch progress data is processed on our own servers and is not shared with advertisers or third-party analytics providers.

Push Notifications

Device Information for Notifications

When enabled, we store device identifiers and push notification tokens solely for delivering app notifications. These identifiers are not used for tracking or advertising.

Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information in the following limited circumstances:

Within Your Organization

Team and player information is shared with other coaches and administrators within your organization as necessary for team management.

Service Providers

We may share information with trusted service providers who help us operate our platform, including hosting providers, Mailgun for email delivery, and PostHog for product analytics plus masked session replay on the website and iOS app.

For Google and YouTube integrations, we send requests to Google APIs only to provide the Google-powered feature you initiated or connected. Google user data is not shared with unrelated third parties.

Legal Requirements

We may disclose information if required by law or to protect our rights, property, or safety.

Third-Party Services and Links

Our platform may contain links to third-party websites, services, or integrations (such as tournament registration platforms, analytics providers, or scheduling tools). We are not responsible for the privacy practices, content, or security of any third-party services. We encourage you to review the privacy policies of those third parties before providing any personal information.

Data Security

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit and at rest
  • Regular security assessments and updates
  • Access controls and authentication
  • Secure hosting infrastructure

Users must not attempt to circumvent platform safeguards or security features, as outlined in our Acceptable Use Policy.

Data Retention

We retain your information for as long as necessary to provide our services and comply with legal obligations. You may request deletion of your account and associated data at any time. Roster photos are deleted when the team/player is deleted or when the coach removes them. For information about account termination, see our Terms of Service.

If you disconnect a Google integration, we attempt to revoke the Google refresh token and mark the connection as revoked. For Google Calendar, you can delete an individual disconnected team-season sync record or remove all Google Calendar integration data owned by your account from the calendar sync management page. You can also reset integrations or delete your account to remove stored OAuth connection records, subject to limited retention needed for security, legal compliance, or historical records that no longer contain active Google access tokens.

Data Transfers and International Users

Coach Joel's Way Youth Fair Play Coaching Platform is operated in the United States. If you access the platform from outside the United States, you acknowledge that your information may be transferred to, processed, and stored in the United States or other jurisdictions where data protection laws may differ from those in your location.

Business Transfers

If Coach Joel's Way Youth Fair Play Coaching Platform is involved in a merger, acquisition, restructuring, or sale of assets, your information may be transferred as part of that transaction. We will take reasonable steps to ensure your information remains protected and is used in accordance with this privacy policy.

Limitation of Liability

While we take reasonable measures to protect your personal information, no method of transmission over the internet or electronic storage is completely secure. To the fullest extent permitted by law, Coach Joel's Way Youth Fair Play Coaching Platform shall not be liable for any unauthorized access, disclosure, or loss of information beyond our reasonable control.

Your Rights

You have the right to:

  • Access: Access your personal information through your account profile or by contacting support
  • Correction: Update or correct inaccurate information through your account settings (name, timezone) or by contacting support
  • Deletion: Request deletion of your account and data through the account deletion feature or by contacting support
  • Portability: Request export of your data in a machine-readable format by contacting support
  • Objection: Object to certain processing of your information by contacting support

Account Deletion and Data Rights

Coach Joel's Way allows coaches to permanently delete their account and associated data at any time directly within the app.

To delete your account:

  1. Open the Coach Joel's Way app
  2. Go to Settings → Profile Settings
  3. Select "Delete Account" and confirm

Once confirmed, your account, teams, and uploaded content are permanently deleted. Some limited technical data may be retained briefly for security or legal compliance.

Children's Privacy

Our platform is designed for coaches and administrators. While we may store information about players (including minors), this information is provided by coaches and administrators with appropriate authority. We do not knowingly collect personal information directly from children under 13.

Responsibility for Player and Minor Data

Coaches, administrators, and organizations are solely responsible for ensuring they have the legal authority and any required parental or guardian consent to provide player information, including information relating to minors, to the platform. Coach Joel's Way Youth Fair Play Coaching Platform relies on users to provide information lawfully and does not independently verify parental consent.

Roster Photos / Minors: Coaches/organizations confirm they have parent/guardian permission before uploading a minor's photo, and should upload only what's necessary (e.g., headshot) and avoid sensitive information.

Coaches must treat all players with dignity and respect, as outlined in our Coach Code of Conduct.

Cookies and Tracking

We use cookies and similar technologies to enhance your experience, analyze usage, and provide personalized features. You can control cookie settings through your browser preferences.

Do Not Track Signals

Some browsers offer a "Do Not Track" (DNT) signal. At this time, we do not respond to DNT signals, as there is no consistent industry standard for compliance.

Changes to This Policy

We may update this privacy policy from time to time. We will notify you of any material changes by posting the new policy on our platform and updating the "Last updated" date.

Governing Law

This privacy policy is governed by and construed in accordance with the laws of the State of Nevada, without regard to its conflict of law principles.
